Quotations is a feature that allows us to generate estimates before they turn into sales. It is a very commonly used function within a company as it allows us to structure and order the prices we give to our clients.
We can generate sales quotes or purchase quotes if what we want is to propose to a supplier a purchase under specific conditions, whether they be prices, terms, or for example, quantities.
To access this function, we go to the left side menu, under "Quotation"; if we expand it, we can see a list of quotations or add new ones. If we choose to list, all the quotes made will appear in the main view.
In the upper left part, we can add a quote, once we access to add quote we will find a view very similar to others since we always follow the same format. In this view, we can observe fields very similar to sales, since a quote is very similar to a sale, the main difference is that in a quote the transaction has not yet been confirmed as it is a launched proposal, and in this proposal, we can assign different statuses, such as accepted or not accepted, among others.
We must select the salesperson assigned to this client, the product supplier, if there are several suppliers we can create an internal supplier which is our own company, we can select the warehouse.
In the same way, we select the product, which must already be created and with sufficient stock.
The other fields are the usual ones, such as tax type, if we want to attach a photo or an associated document, discounts, transportation costs, and others.
The status is important to always have configured, we can create as many statuses as we wish, for example in this case we have a quote sent or not sent. It refers to whether the quote has been delivered to the client.
This quote, once completed, moves to the main view of quotes, where we can filter or edit and perform other operations on it.
In the right side menu on each of the transactions, we have three very important options. We can link it to a purchase quote, a sales quote, or automatically transform said quote into a purchase or sales invoice once the quote has been accepted, thus saving us from having to create a purchase or sale manually.
Once we have generated that purchase or sale, we can then print the document or edit or manage it.
